Opening: Finance and Administrative Assistant

Summary

The Naval Postgraduate School’s Center for Homeland Defense and Security (CHDS) has been the nation’s premier provider of Homeland Security education since 2002. CHDS is seeking a qualified individual to serve as a finance and administrative assistant in supporting a national contract. This position has two central responsibilities. 1) Assisting the finance team with the monthly invoice to the government and weekly expense report processing, and 2) Providing a wide range of administrative support to the program manager, contractors, and academic programs. While most of these tasks can be identified, the position also requires the flexibility to adapt to unexpected situations. A successful candidate will work with a team to prioritize and organize tasks to provide support to the staff, faculty, and guests of the Center to achieve the mission.

Responsibilities

• Monthly purchase report collection and review • Monthly Other Direct Cost (ODC)/Travel invoice creation • Weekly expense report processing • Inventory Management • Travel policy document maintenance • Collaboration to maintain and update purchasing/operating procedures, as necessary • Employee onboarding and out-processing • Tracking of annual contractor training requirement and completion • Monthly contractor progress report • Zoom hosting and meeting coordination • Troubleshooting issues and liaising between all departments • NPS Gate Access facilitation and base escorting • Shipping and receiving • Duties as assigned

Qualifications

The candidate should possess the following knowledge and skills and be able to demonstrate them with or without reasonable accommodation. Requirements include: • Proficiency in all Microsoft Office applications • Excellent written and verbal communication skills • Experience with customer service • Experience with administrative support • Ability to prioritize and complete multiple tasks • Ability to efficiently troubleshoot issues independently • Experience with the Joint Travel Regulations (JTR) is a plus • Reservist, retired military, military spouse, or other identifying document which grants base escorting privileges

Physical requirement: The candidate must be able to lift and carry light loads without encountering any physical limitations. The candidate will be expected to assist with occasional event set-up.

Education

Undergraduate degree or an equivalent of education plus experience

Experience

Two or more years of administrative and/or logistics support. Experience in an academic or executive-level setting is a plus.

Salary Range

$70K-85K
